POSITION DESCRIPTION
Working closely with and reporting to the Senior Director of Information Technology, the Systems Administrator is responsible for designing, configuring, managing, tuning and troubleshooting Microsoft operating systems and applications including Windows Server, Active Directory, SQL Server, Clustering, IIS, SharePoint, Exchange, and Blackberry Enterprise Server.  Other responsibilities include maintaining and monitoring backups and network storage as well as supporting our multi-site network including DNS, DHCP, wireless networking, switches, firewalls and routers. He/she also participates in a 24x7 support schedule with other members of IT.

KEy Responsibilities:
  • Day to day management of all servers and server applications in all sites such as, but not limited to, Windows Server, Virtual Servers, Active Directory, SQL Server, Clustering, IIS, SharePoint, Exchange, and Blackberry Enterprise Server
  • Provide management of enterprise-wide VoIP phone system
  • Manage data backups and disaster recovery for all sites
  • Work with the rest of the IT team to improve the way technology is delivered to the enterprise which includes designing and implementing systems to improve reliability, scalability and performance
  • Manage projects and project teams
  • Part of a team providing direct support to Year Up staff and students for server or desktop issues
  • Provide local and wide-area network administration
  • Be a part of the team setting up IT system and infrastructure needs new Year Up sites
  • Innovate and think outside the box regarding how Year Up can do things better and faster, particularly in regards to IT infrastructure

 

Qualifications:

POSITION DESCRIPTION
Working closely with and reporting to the Senior Director of Information Technology, the Systems Support Analyst is responsible for providing phone and direct technology support to all Year Up sites. He/she also serves as the escalation point and expert to other IT support staff.  The person in this position continually keeps abreast of industry trends and analyzes, recommends, and implements new solutions. Additionally, he/she will provide direct training as needed to Year Up staff.

KEy Responsibilities:
  • Provide excellent customer support services to all staff and students in the support of computers, monitors, printers, PDA’s and other peripherals devices for all Year Up Sites

  • Select, implement and maintains remote desktop troubleshooting infrastructure, desktop imaging systems, and remote desktop management tools

Key Responsibilities:
Management:

Year Up is seeking an energetic and detail-oriented Executive Team Assistant to provide support to Year Up’s Founder and CEO and other key members of the executive team. Reporting to the Chief of Staff of the CEO, the Executive Team Assistant will play an integral role in ensuring the effectiveness and productivity of the executive team by providing outstanding executive support and managing the overall administration of the Office of the CEO. Key Responsibilities:

Reporting to the Assistant Director of Finance, the Controller is a principal financial manager with responsibilities for a broad range of both strategic and task-oriented duties including: overseeing production of financial statements; establishment, maintenance, and adherence to internal controls; assisting in budget preparation; and overseeing regular financial reporting internally and externally. Key Responsibilities:
The Controller will have primary responsibility for:
  • Assisting in all aspects of the budget cycle including creation, modifications following management discussions, and preparation of the final version
  • Assisting in financial analysis and strategic decisions regarding multi-site financial management
  • Researching and implementing appropriate financial policies and procedures
  • Designing financial management reports using MIP Accounting Software
  • Preparing interim financial statements and management reports
  • Preparing annual financial statements in accordance with GAAP
  • Managing all aspects of annual audit including preparing schedules and providing backup information as requested
  • Managing all aspects of student stipend processing function, including preparation of stipend payments

    • Ensure accurate posting of pledges and contributions
    • Assist in generating financial reporting for various funders

  • Work closely with the IT Department to implement and enhance financial management systems and train others on their use
 
Qualifications:
The ideal candidate will will have:

  • Bachelor’s Degree in accounting or related field
  • Minimum of five years related work experience in business, accounting, and finance
  • Experience with non-profit accounting and knowledge of government funding requirements preferred
  • Supervisory experience preferred
  • Experience with automated financial management software; experience with MIP strongly preferred
  • Ability to multitask, with strong organizational and management skills
  • Excellent communication skills and the ability to interface with people at all levels inside and outside the organization

RESPONSIBILITIES

  • Develop extensive knowledge and understanding of Year Up in order to compellingly present its mission and programs to corporate and foundation prospects in both written and oral format

  • Cultivate new relationships with foundations as well as steward existing relationships through mail, phone and in-person contact
  • Manage and track the institutional and public funding timeline to ensure that deadlines are met and goals accomplished
  • Organize and manage paper and electronic files related to funders and their corresponding deadlines
  • Work with the Director of Development to develop proposal budgets, write concept papers and proposal narratives, and assemble supporting materials

The Year Up Teacher Fellowship is a one-year commitment through which Teaching Fellows work directly with one of four distinct Learning Communities and have responsibility for providing instructional and administrative support to that community.  With ongoing coaching and supervision from the Learning Community Leader, Academic Director, and faculty, the Teaching Fellow will be responsible for teaching one class, substituting for faculty members as needed, and helping to maintain the daily operations of the site, which functions much like a small school.  Fellows will be expected to serve as active members of their Learning Community, participate in weekly meetings, collaborate on projects with staff, and advise students.  They will enjoy increasing responsibility as the Fellowship progresses.

Our classroom emphasizes a student-centered, collaborative teaching and learning environment that has real-life application.  The foundation of our model is high expectations and high support for our students.  Therefore, teaching fellows also guide students in professional behavior, help to build their confidence and advise them on educational and professional choices that will help them reach their academic, professional, and personal goals.

RESPONSIBILITIES

  • Provide overall instructional and administrative support to ensure the smooth operation and high quality of the program, both inside and outside the classroom.
  • Leverage the time of faculty members by serving as a co-teacher.  Take primary responsibility for teaching the Customer Service and/or Business Essentials curriculum to a class of 35 young adults
  • Engage students through one on one tutoring and advising
  • Coordinate student participation in activities and events including field trips, corporate gatherings, and Year Up events such as graduation and the annual Gala.
  • Participate as a member of a Learning Community Team that supports and oversees a group of approximately 35 students
  • Special projects as assigned, such as our volunteer mentor program, program improvement, and focused teaching and learning, and civic projects.

 

Qualifications

  • A proven passion for working with urban youth, an unshakeable belief in their potential, and confidence in his/her ability to make a difference
  • 1- 3 years experience teaching or working with urban youth, preferably in the 18 – 24 year age range
  • An interest in implementing progressive teaching methodologies and in creating a hands-on interactive learning environment

  • Excellent communication skills, mature interpersonal style, and the ability to interact with a diverse range of people, strong team work skills.

Key Responsibilities:
Coordination, Administration, and Special Projects:
  • Help support the development of a high-functioning Boston leadership team through work plan development, staff building, and quality program planning efforts.
  • Represent Executive Director at select meetings, internally and externally.
  • Interface with other departments across Year Up including the National office, Admissions, Program, Apprenticeship, Alumni Services, Development, and Operations.
  • Coordinate Boston-wide communication and calendar in partnership with Boston Operations Manager and Program Director.
  • Provide administrative support to the Executive Director including drafting written communications, directing incoming calls, emails, and visitors, and scheduling/planning internal and external meetings
  • Assume a proactive role in increasing the productivity, efficiency and organization of the Office of the Executive Director, ensuring that the Executive Director’s time is focused on accomplishing the organization's highest priorities; 
  • Participate in and lead special projects that support Year Up Boston’s effectiveness and growth
Development Team Support:
  • Identify and research institutional, public and individual funding opportunities
  • Support development staff in implementing a range of activities, including volunteer engagement, special events, e-newsletter, donor cultivation, proposal and report-writing, and public policy efforts.
  • Coordinate contact management system for Boston donors and partnerships
  • Record site donations in tracking system and update cash flow projections. Ensure database is accurate, up to date and is reconciled with financial reports
  • Create thank you letters for donors and ensure they are sent expeditiously
  • Prepare fundraising updates for the Executive Director, development team, and Board of Directors
Advising and Facilitation:
  • Develop successful and trusting relationships with the students and create and sustain an environment at Year Up that supports these relationships
  • Facilitate learning sessions and serve as an advisor to Year Up students

  • Coordinate corporate partner relations including organizing corporate events, scheduling orientation meetings, and conducting corporate site visits to support apprentices

Skill Set

  • Available to the DC site as a senior, experienced development resource with a proven track record. Providing a full compliment of skills including direct solicitation, goal management, donor management and staff management.
  • Has own individual portfolio of prospects and annual goal.
  • Centralized development functions ensure standardization as well as high levels of execution.
  • Devise and oversee all mailings, donor correspondence, grant proposals and foundation reports.
  • Leverage time of Executive Director and National leaders in cultivating high-potential donors and prospects.
  • Work closely with the Executive Director to review structure of development teams ability to achieve and grow resources.
  • Must be able to build an active annual fund, major gifts, events, principle and capital gifts as well as planned gifts; corporations and foundations giving.
  • The Director  will be responsible for focusing their efforts and maintaining databases so all are clear on what monies have been committed, what monies are outstanding and when those should be collected and how.

 

Qualifications

  • A Bachelor’s Degree (Master’s Degree preferred) and 7-10 years of management experience in all aspects of fundraising;
  • Excellent writing, verbal and interpersonal communication skills; extensive experience overseeing teams and workgroups, and the ability to work with minimum supervision and meet expected goals;
  • A proven track record in effective implementation of strategic fundraising, and be able to demonstrate an ability to articulate the organization’s position in the marketplace;
  • High levels of motivation, energy and confidence, with strong interpersonal and presentation skills;
  • Ability to multitask and meet deadlines;
  • Successful candidate will possess the ability to develop superb working relationships with staff centrally and in field offices as well as contractors, volunteers, partners, investors;
  • Experience in fundraising systems a must;
  • A passion for working with urban youth and an unshakable belief in their potential;
  • A strong work ethic and positive attitude, with a willingness to be flexible and do whatever it takes to get the job done;
  • Occasional domestic travel is required.

POSITION DESCRIPTION
The Apprenticeship Coordinator reports directly to the Director of Apprenticeships and supports the Partner Relations Manager and Manager of Career & Alumni Services.  The Apprenticeship Coordinator is primarily responsible the administrative support of the Apprenticeship team.

Key Responsibilities
  • Coordinating corporate partner relations including organizing corporate events, scheduling orientation meetings, and conducting corporate site visits to support apprentices.
  • Ensure that upon apprenticeship placements that students receive a packet with job description, company information, contact information, questions to ask on orientation meetings, paper, pen, etc.
  • Increase knowledge of Survey Monkey and to ensure that the surveys are sent out accordingly and that the responses are received in a timely manner.
  • Assist Year Up members in transitioning from students/interns to alumni members of the program.
  • Responsible for providing DC content to the quarterly alumni newsletter and ensuring contact information is current and information is being distributed accordingly.
  • Responsible for database management of DC alumni information, newsletters, and announcements.
  • In addition to these responsibilities, and in keeping with Year Up’s values, the position requires interaction with students as advisor and advocate.

POSITION DESCRIPTION
The Student Relations Coordinator (SRC) reports to the Director of Programs and supports the Admissions Specialist as well as the Recruitment & Outreach Specialist. The SRC is primarily responsible for corresponding with applicants regarding the status of their application (invite, decline, and waitlist letters, and follow-up on incomplete applications or missing documents), accurately tracking applicants and their application status, managing documentation to be entered into the database system and serving as an ambassador of Year Up core values.

Key Responsibilities
  • Serve as Advisor to 5-7 students
  • Receive and respond to request for information via phone, email, print and other advertising sources
  • Make outbound telephone calls to individuals who have inquired about Year Up
  • Set appointments for prospective students to visit the school
  • Coordinate the selection process with the Admissions team including:  scheduling and conducting screening and selection interviews, training staff members on how to effectively conduct these interviews, and coordinating the selection committee meetings
  • Coordinate communication with confirmed students, sending out packages, responding to questions or concerns and updating the database system, Sales Force
  • Assist the Recruitment & Outreach Specialist by attending outreach events, including but not limited to career fairs, school/community presentation, panel discussion, open house and workshops
  • Work with Sales Force to consistently and accurately track applicants and their application status.
  • Achieve daily productivity in the key result areas of the admissions process (setting appointments, conducting interviews and enrolling students)

The Academic Director will report directly to the Executive Director and work collaboratively with the Program Director of Year Up DC to support academic staff so they are able to learn and maintain the Year Up culture and produce high-level academic results.

Key Responsibilities
